Welcome
These Terms of Service explain how KODO Design ("KODO", "we", "our" or "us") works with you ("you", "your" or "the Partner").
Our aim is simple: to create thoughtful design that helps your business grow. These terms aren't here to create unnecessary barriers—they're here to ensure every project starts with clear expectations, open communication and mutual respect.
By accepting a proposal, quotation or paying an invoice, you agree to these Terms of Service.

Brand Identity
Graphic Design
Digital Presence
Creative Partnership
KODO Care Plan
Every project is unique. The exact scope of work will always be outlined within your proposal or quotation before work begins.
Working Together
The best projects are collaborative.
We'll bring design expertise, thoughtful ideas and honest advice.
In return, we ask that you:
Provide information, content and assets when requested.
Review work within a reasonable timeframe.
Communicate openly throughout the project.
Provide honest and constructive feedback.
Ensure any materials you supply are owned by you or licensed for use.
Delays in receiving information or approvals may affect agreed project timelines.
Quotations & Proposals
Every quotation is tailored specifically to your project.
Unless otherwise stated:
Quotations remain valid for 30 days.
Work outside the agreed scope may require an updated quotation.
Additional requests will always be discussed and approved before work begins.
We never want unexpected invoices.
Payments
Unless otherwise agreed:
A 50% deposit is required before work begins.
The remaining balance is due before the final files or website are delivered or launched.
For ongoing services such as the KODO Care Plan, payments are made monthly in advance.
Invoices are payable within 14 days.
Late payments may result in work being paused until payment has been received.
Ownership of completed work transfers once all outstanding invoices have been paid in full.
Project Timelines
We'll always aim to deliver projects within the agreed timeframe.
However, project timelines rely on timely communication from both sides.
If feedback, approvals or content are delayed, delivery dates may need to move accordingly.
Should a project become inactive for more than 30 days, we may contact you to discuss rescheduling or closing the project.
Revisions
Every proposal includes a clearly defined number of revision rounds.
A revision is intended to refine the agreed direction.
Requests that significantly change the original brief, introduce new concepts or expand the scope of work may be quoted as additional work.
We'll always discuss this with you before any extra work is undertaken.
Website Content
Unless specifically included within your proposal, you're responsible for providing:
Website copy
Images
Logos
Brand assets
Legal documents (Privacy Policy, Terms, etc.)
We're happy to offer guidance and recommendations throughout the process.
Third-Party Services
Many projects rely on third-party platforms and services, including (but not limited to):
Squarespace
Domain registrars
Google
Font providers
Stock photography providers
Payment providers
Whilst we'll always recommend trusted services, we cannot be held responsible for changes, outages, pricing updates or technical issues relating to third-party providers.
Search Engine Optimisation (SEO)
Every website is built following recognised SEO best practices where appropriate.
This includes areas such as:
Page structure
Metadata
Mobile responsiveness
Accessibility
Image optimisation
However, search engine rankings depend on many external factors beyond our control.
For this reason, we cannot guarantee specific rankings or search results.
Website Launch
Before launch, you'll have the opportunity to review and approve the completed website.
Once approved and published, responsibility for website content transfers to you unless you're subscribed to the KODO Care Plan or another ongoing support agreement.
KODO Care Plan
Our Care Plan is designed to help keep your website healthy after launch.
It includes:
Website maintenance
Security updates
Platform updates (where applicable)
Minor text and image updates
General website support
It does not include:
New pages
New functionality
Website redesigns
New branding
Major content creation
Any additional work will be quoted separately before commencement.
Intellectual Property
Upon full payment:
You own the final approved deliverables created specifically for your project.
KODO retains ownership of working files, concepts that were not selected and internal design processes unless otherwise agreed.
Any fonts, stock imagery or third-party assets remain subject to their own licensing agreements.
Portfolio & Promotion
We're incredibly proud of the businesses we work with.
Unless otherwise agreed in writing, KODO may showcase completed work within:

The KODO Journal
Social media
Portfolio
Marketing materials
We will always present your project respectfully and professionally.
Communication
Clear communication leads to better outcomes.
We aim to respond to emails and enquiries within two working days, although response times may occasionally vary during busy periods.
We'll always keep you informed if project timelines or availability change.
Cancellation
Either party may cancel a project by providing written notice.
If work has already begun:
Deposits are non-refundable.
You'll only be invoiced for work completed up to the cancellation date.
Any completed work remains subject to these Terms.
Limitation of Liability
While every project is completed with care and attention, KODO Design cannot accept liability for indirect, incidental or consequential losses arising from the use of our work.
Our total liability shall not exceed the total fees paid for the specific project giving rise to the claim.
Nothing within these Terms limits liability where such limitation is not permitted by UK law.
Changes to These Terms
These Terms of Service may occasionally be updated to reflect changes to our services or legal requirements.
The latest version will always be available on our website.
